Job Description

Overview / Responsibilities

Wood is currently recruiting for a Studies Administrator with experience in the mining and metals industry.

  • Compile electronic study structure as per agreement with the specified client and Study Manager
  • Compile the following back up documentation (in agreement with the client) and driven by the assigned study manager:
  • Prepare study report (SRE Section 1) Index Page which also serves as a deliverables list for all disciplines contributing to the study report. Similar requirements around the development of the Project Execution Plan (PEP Section 2) and the Study Work Plan (SWP Section 3) as required
  • Implement the agreed report ‘study template’ and adherence to agreed standards of quality
  • Responsible for the development, maintenance of quality and consistency of all the study report deliverables – both hard copy and soft copy, In conjunction with the study manager
  • Responsible for managing the timeous delivery of the study deliverables to the client, In conjunction with the study manager
  • Provide administrative support to the principal study manager, study managers and study team members including the following:
    • typing;
    • faxing,
    • scanning;
    • study report filing,
    • photocopying,
    • scheduling meetings,
    • taking minutes (as required by the study manager)
    • organize conference calls as required by the study managers
    • Coordinate with all engineering and project services disciplines around delivery / quality of report inputs (Mechanical, Process, Infrastructure, Piping, Estimating, Planning, Electrical etc.)
    • Responsible for administering key study ‘management tools’ including contact list, study calendar, decision logs etc.
    • Perform clerical tasks such as scheduling appointments, answering the phone, making reports, and ensuring sufficient office supplies
    • Organise internal study department meetings as required
    • Assist principal study manager in coordinating resource allocations to studies and collation of dashboard reporting for different range of studies
    • Involve in the development and maintenance of department standards
    • Coordinate with the diary of the principal study manager (as required)
    • Assist principal study manager in arranging necessary team activities
    • Keep an up-to-date Study department calendar which includes
    • Site Visit
    • Birthdays
    • Leave days
    • Study deliverable dates

Skills / Qualifications

  • Minimum of 5 years’ experience in a secretarial / PA function preferably within the preparation of study reports according to a specific standard
  • Advanced level of Microsoft packages
  • Above average attention to detail
  • Ability to manage time and priorities accordingly
  • Accurate, fast typing skills
  • Good English language skills, both oral and written
  • High level of personal and professional integrity and trustworthiness
  • Ability to prioritise diverse instructions / requests and meet critical deadlines
  • Ability to respond in a timely and professional manner to multiple client requests
