Job Description

Overview / Responsibilities

Wood is looking for a Kuwaiti Secretary to provide secretarial support and assistance to the Project Manager in the delivery of the Project.


  • Support the Project Manager with clerical and administrative duties in order to achieve ZOR project objectives as defined in the Project Management Plan (PMP) with the focus on PMP Volume 2 - Engineering Management and Execution Plan
  • Spread administrative duties across multiple document types like procedures and workflows, presentations, work instructions, forms, checklists and guidelines, dashboards, reports, records and logs, schedules and trackers, etc.
  • Interface with project secretaries and other disciplines as required, this includes, Document Control, Quality Control, HSE, Project Management, Interface Management, etc.
  • Distribute incoming correspondence to the Project Manager and if applicable, to the Contractor
  • Perform general assistance to Contractor’s Project Team
  • Distribute outgoing correspondence to the Contractor
  • Distribute correspondence from Contractor Project site team to Document Control Centre (DCC)
  • Maintain records / logs and scan incoming - outgoing correspondence, company instructions, technical queries, weekly / biweekly / monthly / quarterly reports, minutes of the meeting, transmittals, project specifications, subcontractors, QA, SHE, structural receipts and procedures
  • Maintain calendars, schedules appointments, screen calls and emails, take appropriate actions, and arrange meetings inclusive of venues, etc.
  • Run overtime reports in Convero reconcile with Overtime sheets, etc.  

Skills / Qualifications

  • A highly disciplined, organized individual who knows the importance of structure, process and confidentiality
  • A motivated self-starter, with good interpersonal skills who is comfortable taking the lead on initiatives and seeing them through to resolution
  • Excellent computer skills for this role
  • Deadline orientated with the ability to work under pressure and work on own initiative
  • Minimum 3 years working experience in a similar position
  • Detail-oriented person
