  • Overview / Responsibilities

    Wood is seeking applications from experienced Senior Project Administrators for our growing Perth office. The successful candidate will provide efficient secretarial and administration support services to the office.

     

    Responsibilities

     

    • Coordinate and undertake secretarial and administrative services to ensure efficient flow of information and correspondence
    • Document delivery and assembly including typing and document formatting of presentations, reports, letters, specifications, datasheets and other documentation
    • Minute taking and distribution of minutes at meetings
    • Arrange catering as required for client and staff meetings
    • Organise and coordinate with appropriate company personnel functions including client, subcontractor, company, senior management and staff
    • Liaise with HR and the Office Manager in relation to new starters, leavers and transfers, and generally assist in the relocation of staff
    • Coordinate with other Wood groups for internal services such as site clothing and PPE
    • Coordinate team travel and accommodation as
    • For team site personnel, coordination of timesheet submissions and expense claim management
    • Carry out archiving of records as and when required
    • Management of expenses including petty cash, taxi vouchers and the like

    Skills / Qualifications

    • Minimum 8 years’ of experience in a project secretarial or similar role preferably within the resource, construction or engineering industry
    • Excellent customer service and telephone manner
    • Ability to work under pressure and be flexible
    • Ability to effectively carry out duties within tight time frames
    • Must have high attention to detail for all aspects of secretarial responsibilities
    • Ability to prioritise and organise tasks
    • Excellent verbal and written communication skills
    • Advanced MS Office suite (Outlook, Word, Excel and Power Point) skill
    • Diplomacy and ability to keep sensitive information confidential
