  • Overview / Responsibilities

    Wood is currently recruiting for an Administration Support Assistant to support our Clean Energy business in Glasgow.

    The Administration Support Assistant is attached to a specific business area and supports that area by providing a range of administrative services which may include maintaining relevant databases, production of bid proposals and project documentation, collating and analysing information, document control, purchasing, travel arrangements etc.

    Must be capable of covering duties of other business-assigned administrators and receptionist at peak times and holidays.

    Supports senior management in the assigned business area; liaises with other departments. Contact with external suppliers for travel, accommodation and purchasing of consumable supplies.

     

    Responsibilities:

     

    Administration

    • Responsible for managing a number of administration tasks within the assigned business area
    • Coordinate data on project and proposal activity to ensure the business area has accurate and up-to-date information for decision making
    • Coach and mentor other admin support assistants and receptionist to ensure they are multi-skilled and capable of providing cover for each other

    Documentation

    • Prepare preliminary stage documentation for tenders, pre-qualification questionnaires and client requests in a professional and timely manner
    • Assist with submission of supplier documentation

    Project Support

    • Assist senior management with resourcing administration and project review data
    • Communicate operational updates to business teams

    Travel

    • Co-ordination of travel, accommodation and visas for managers, team members and when necessary, interview candidates   

    Purchasing

    • Manage purchasing administration with the business area

    Business Development Reporting

    • Input data on the CRM (Customer Relationship Management) system and monitor for updates                                                                        
    • Run and create “dashboards” for reporting to the BD Manager

    Training

    • Coordinate and monitor team training requirements
