    Wood is currently recruiting for an Office Administrator. The Office Administrator is the focal point at the Wood office for all office administration. This role is varied and covers  a range of duties to support the office including additional support for the ECE Sales Administrator. In addition reception duties are needed.

    Please note: Salary for this role will be between £18K - £20K

    Key responsibilities

    • Focal point for maintaining HSSEA documents and communication.
    • Gather company information regarding supplier and customer registrations
    • Assist the project managers in gathering bid information and couriering to potential clients
    • Collate information and distribute to senior managers.
    • Maintain and organise electronic files in respect of the above tasks.
    • Answer phone and transfer calls appropriately
    • Receive visitors, coordinating with site security office and following visitor procedures in place
    • Make travel and hotel arrangements as required
    • Identify travel visa requirements for staff travel and process visa applications as required
    • Liaise with the HR Manager, IT supplier & University site Manager to set up new starters, Identity badges & car park permits
    • Order stationary, kitchen & office supplies as required
    • Co-ordinate with gate security staff re post, couriers, messages etc. Collect post/ small parcels from gatehouse if requested and notify the gatehouse of visitors
    • Manage bookings of specific meetings rooms for internal or external meetings, and ensure meeting rooms are kept tidy
    • Co-ordinate with Landlord re any requests from staff or from Landlord
    • Ensure smooth running of the office facilities
    • Provide admin support and cover to the ECE Sales Administrator
    • General Admin support for the office


    Skills / Qualifications

    Key Skills

    • Very personable with strong communication skills and a friendly and welcoming manner. Needs to have a good telephone manner
    • Business-like approach – helpful, efficient and professional
    • A problem solver with a sense of responsibility for dealing with issues promptly
    • Highly competent in the use of Microsoft Office and handling telephone systems
    • Experience of sales administration would be an advantage
    • Knowledge of SAGE and Oracle would be desirable



    • A minimum of 5 GCSEs including English and Maths
    • A relevant business qualification would be desireable
