  • Overview / Responsibilities

    Wood Industrial Services Business are recruiting for a Business Administrator.  This is a permanent staff position to be based in a client office in Aberdeen.

     

    Purpose of the Role

    • To provide accurate administration to the payroll department
    • Make sure all changes are input and processed in time to meet payroll deadlines

    Responsibilities and Duties

    • Deal with payroll queries in a timely manner
    • Administer invoices to external and internal clients
    • Liaise with Supervision to ensure correct job card numbers have been submitted on timesheets
    • To register, scan, process and store inbound documents/expense claims and subcontractor certificates received by the team
    • Electronic filing and archiving for Accounts Payable documents
    • Ensure that financial transactions and documents are prepared and processed in line with the department's Service Level Agreements
    • Ensure compliance with audit requirements

    Skills / Qualifications

    Skills / Experience

    • Qualified to minimum Scottish Standard Grade 1-3
    • Demonstrable experience in a similar role
    • Proficient in Microsoft Office, especially Excel
    • SAP and Oracle Experience would be preferential, but not mandatory
    • Experienced in data entry and administrative tasks with the ability to compile accurate data and produce detailed reports
    • Excellent telephone manner and customer service skills
    • Flexible - able to comply /adapt to company / client requirements with the ability to work under pressure to meet tight deadlines
    • Confident to be able to work on own initiative with strong organisation skills and able to prioritise workloads and share seek support when required
    • An excellent team player who is also proactive
    • Ability to demonstrate high level understanding of HSE safe working practices / procedures and their implementation.
